Remuneration Review process - The Australian Industry Group Case Study

The Australian Industry Group selects a home-grown solution and implements R.Review to manage their remuneration review process.

The Need to Replace the Spreadsheet Based Process

For several years The Australian Industry Group (Ai Group) had conducted their salary review process using spreadsheets to manage their reviews and mail-merge to produce letters. Although functional, this approach lacked the transparency and flexibility Ai Group required to manage their remuneration reviews moving forward.

There were a number of issues with the spreadsheet based approach. Recommendations could only be checked against corporate guidelines after data was returned to HR and senior management had to wait for data to be consolidated and corrected before receiving any reports.

Using in-house developed spreadsheets meant that if changes were required or errors identified, the HR department was reliant upon internal resources to address any issues. This lead to delays in the process if the internal resource was away or unavailable. Additionally, most of the automation that Ai Group had implemented centred around consolidating data after it had been gathered. HR still had to manage the slicing, dicing, distribution, and reassembly of multiple spreadsheets across divisions and departments.

According to HR Generalist Holly Knight- Smith, “The process was still largely manual, very time consuming for HR, errors could inadvertently creep in and the built in smarts were reliant on internal IP – this was not a sustainable situation.”

The Selection Process

Ai Group invited a number of software and HR system vendors to tender for implementation of a remuneration review solution and after a stringent evaluation and due-diligence process, decided upon R.Review. R.Review met all of Ai Group’s automation, security and process requirements whilst remaining within Ai Group’s budget. The fact that Remesys is wholly Australian owned and managed was an added bonus.

The Solution

One of the key advantages R.Review offers over other systems is that it can be easily configured to use any organisation’s compensation calculations, processes and terminology. This means that companies can obtain the automation, reporting and security benefits of using a best-practice software solution without having to change their remuneration policies and guidelines to suit the system.

Managers responsible for making salary recommendations found R.Review very intuitive to use. Human Resources Manager, Anita Morkans told us "The system was incredibly intuitive, meaning that HR generally did not have to provide any training; i.e. the Directors and Managers were predominantly selfsufficient in navigating their way around."

Remesys consultants worked closely with Ai Group’s remuneration team to understand the current process. Remesys then configured R.Review incorporating Ai Group’s fields, data structures and calculations. The inclusion of editable matrices for remuneration bands and performance-based recommendations gave Ai Group the flexibility to maintain or adjust recommendation guidelines across their workforce.

Access to the configured system was provided on time and within budget, meeting all of Ai Group’s tight deadlines.

During the review, HR could easily update employee data, monitor the progress of reviews or change security settings and system access as required. Ai Group’s CFO and Directors, as well as the HR team, could readily access real-time reports to determine expenditure against budgeted increases across Ai Group.

At the completion of the review, salary letters were generated directly out of R.Review. The appropriate letter was automatically generated based on pre-defined rules. Editable letter templates incorporated each entity’s letterhead and allowed letter content to be changed right up to the moment they were printed. Export of data back to payroll was made simple as R.Review includes the ability to export any set of fields to flat-file or Excel.

The Experience

By implementing R.Review, Ai Group achieved their goal of removing their dependency on internal IP, significantly reduced the risk of errors, improved security and improved transparency including end to end tracking of budget versus spend. All of this was achieved on time and within budget.
