Aristocrat is a global business with offices located in Australia, the US, New Zealand, the United Kingdom, India, Argentina, Macau, Canada, Singapore and the Philippines. Aristocrat strives to provide each of their customers with the best games, tailored to suit their markets and players, along with the right systems, solutions and venue services to meet their needs. Their diverse portfolio extends from electronic gaming machines (EGMs) and interactive video terminal systems through to online content distribution in regulated markets and complete gaming solutions for their customers.

The Case for Change

Aristocrat had been using spreadsheets to manage the remuneration review process for many years. As Aristocrat expanded in size and location, (Aristocrat have various currencies and employees in almost every time zone across the world) it became evident that spreadsheets were no longer a viable option. The spreadsheet process was a burden to administer and presented a high risk for potential errors, with the need to slice, distribute and re-consolidate many spreadsheets. As the reviews become more complex and time consuming it was clear that something needed to be done, and it needed to be done quickly. Aristocrat has built a reputation as a premium supplier of ground-breaking technologies and as such recognised the importance of implementing a market-leading solution from an innovative partner.

Aristocrat went to market to see what alternatives were available to meet their complex requirements. Armed with a business case and previous experience working with the Remesys team, the GM of Remuneration and Benefits could put forward a strong case on why Aristocrat should implement R.Review, from Remesys.

From a manager’s perspective, the remuneration review process lacked transparency with little visibility of their team’s progress through the recommendation hierarchy, no automated notification of changes to their recommendations and limited ability to model recommendations against their budget.

Implementing R.Review

Remesys worked closely with Aristocrat to understand the different remuneration processes that the Company had to complete. All requirements were documented outlining data requirements, calculations, rules, alerts, reports, administrative features and letter guidelines. All processes were captured in detail to ensure the new solution would satisfy all requirements.

The Result

R.Review was able to convert Aristocrat’s remuneration review into a streamlined, cloud based process, which allowed for time previously spent administering elements of the review to be used to make more informed, strategic remuneration decisions. As R.Review is online, Aristocrat was able to allow managers all over the world to complete the remuneration review at the same time, and the remuneration team could generate reports in real-time without the need to collate spreadsheets as they did in the past. One of the best outcomes was the reduction in errors. Having a single source of truth throughout the process took away the version control issues of the past. The rules and alerts also prevented managers from making recommendations that were outside of Aristocrat’s remuneration policies, and even better, the managers weren’t able to edit fields or formulas that they were not supposed to modify.

Setting the Bar (even) Higher

Historically Aristocrat kept the remuneration review and incentive payments as two separate processes, but once managers had familiarised themselves with the R.Review system in year one, Aristocrat decided to combine these two processes in their second year. Combining these two processes created a few challenges, however working closely with Remesys, Aristocrat were able to walk through how the two processes should interact, enabling a clear vision around what re-design was required.

One of the benefits of combining the processes was that managers were provided with all of the information up front in a single tool. Decision-making was simpler and the solution provided more transparency with the results. Having R.Review online meant that managers were also able to make their remuneration and incentive decisions at a time that was convenient to them, versus having to attend set meetings with their HRBP in order to finalise recommendations.

Other Benefits and Features

Remesys provided system administrator training as well as ongoing support to ensure that all the benefits of an automated remuneration review system were realised in the first review cycle. With the hierarchy for each employee built into R.Review the workflow and self-contained process mapping made the process user friendly and extremely intuitive, with R.Review prompting users with an email when they are required to take an action; as well as providing various alerts for managers as they take actions in the system.

R.Review’s letter generation process supports all forms of communications from simple employee letters, to complex remuneration statements, generated by managers or administrators. Employee letters and statements can also be tailored to different business units or employee types, which is particularly beneficial to a diverse business such as Aristocrat.
